12/21/08 - Introductory Teleconference between alumni members and the undergraduate president

Attendees: Kevin Till, Ray Parks, Garrett Mills, Jeff Nelson, Dustin Haug, John Gezelius, Kevan Gannon, Josh Swinnerton, Ben Kennelly.  We were spread from Southern California to Tennesse and everywhere in between!


 - The following advising roles were identified (some previously, some post telecon).  Those advisers listed in parenthesis are secondary/back-up/in addition.


High Alpha - Ray Parks (Dustin Haug, Kevin Till, Ben Kennelley, )

Everyone should follow-up by considering what positions they would be willing to be listed as a back-up adviser for.  These details should be emailed to Kevin Till.


 - Advisers resources are located on the website (http://www.undlca.com/documents/100.html) Advisers should take the time to read the advisory board manual as well as the manual and resources for the office which they are signed up to advise.


 - The current undergrad president, Josh Swinnerton, will send Kevin Till an undergraduate roster with officer names and contact info. Kevin will post on the website (http://www.undlca.com/documents/50.html).


 - Advisors will contact their respective undergraduate officers by 1/12/09 to introduce themselves and tell him how he is and will be available to advise and mentor.  If local to GF, face to face is preferred.  If not, phone call would be perferred.  Email is acceptable but not preferred for 1st contact as it is not as personal - want to establish a relationship.


 - Josh Swinnerton will ask each undergraduate officer to make a list of items where he feels he may need immediate advising assistance so the advisers can have a place to start. If officers have not provided by the time of the first contactm, advisers should ask for these lists during that first contact.


 - The advisory board chair position is open. Members are encouraged to consider this role.  Basically, it entails communications between the members and the undergrads (sending out undergrad content driven agendas and subsequent minutes, working with the webmaster, etc.)  For now Josh Swinnerton will run the teleconferences and if no one decides to step up as the chair by the time of our next monthly telecon (1/18/09, 8pm CST) then Kevin Till will volunteer to assume the duty.


 - The undergrads will drive the content of the monthly telecons.  The undergrads will prepare an agenda before each so as the advisers may be prepared to speak to those topics.  Josh Swinnerton, as undergraduate president, will see to it that these agendas are created and passed to the advisers ahead of time.


 - John Gezelius will send this email distribution some information on the most recent fraternity education strategy (The True Brother Program) from our international headquarters so that alumni members can be on the same page in that regard as the undergraduates.


 - Alumni board members are encouraged to talk to other alumni that they keep in contact with to recruit them to also volunteer for this effort.


 - The undergrads would like to utilize some teleconferencing equipment for the monthly telecons.  Kevin Till has found a BLuetooth wireless technology cell phone teleconferencing mics/speakerphone (http://www.amazon.com/Parrot-Conference-Phone-Bluetooth-Teleconference/dp/B000OVLN1U) that seems to be the best fit for our needs.  It is ~$250 and he is asking other board members to help contribute to this cost.  Nathan Kenner stated he would donate $20. Please contact Kevin Till to donate to this equipment fund.


 - Bryon Peterson is writing an article for the Winter 08/09 EZ Reader to further solicit alumni involvement in this effort.  Should go out within the next month.
